Seminar Title: Event Coordination and Planning
Requested: 90 minutes in room 9-11,
9a.m. Saturday.
In this seminar we will cover all aspects of event coordination
and planning. Starting with an idea or request, and moving
through how to figure out staffing, logistical support,
training, and equipment needs; infrastructure and setup;
operational procedures and documentation; post event tear down;
and we will end with post event debriefing. As you will
discover, the main criteria and considerations are much the same
no matter what size of an event you are asked to help with.
Bring plenty of note paper with you as we have designed this to
be an interactive forum to share ideas and input from all
attendees.

Bio:
Joy Matlack,
KD6FJV, has made community service an immediate
and continuing focus of her career as a Ham Radio Operator. Joy
has taught Ham Radio classes to various community groups over
the years. As a long time volunteer and emergency response
instructor she has worked a variety of events both as a
consultant to local, state, & federal agencies in disasters and
during training exercises and as an amateur radio operator.
Having been licensed for well over ten years, Joy holds a
general class license and has been a Volunteer Examiner. Over
the years Joy has also been a Red Cross Disaster Services and
First Aid Instructor, a CERT Instructor and Training Officer,
and became a certified Train the Trainer in Domestic Terrorism
Awareness and Response. She has given and/or designed disaster
response programs and the supporting ongoing training for the
Naval and Marine Corps Reserve, the Army Reserve, and several
other local, state, and federal entities.
Joy has
worked the Baker to Vegas Challenge Cup Relay for 18 years. One
of her first assignments was to help in the providing of support
for the Long Beach Police Dept. and the Lakewood Office of the
Los Angeles County Sheriffs Dept teams. A couple of years later,
she received a call from the California Department of Justice
asking for her help in setting up a communications system for
their teams during the race and using that as a training ground
for their agents in the Communications Division. As she spent
these years working with specific teams on their internal
communications, she built a rapport with the race organizers,
members of the Race Committee and its sponsoring organization,
the Los Angeles Police Revolver and Athletic Club. This rapport
led to being asked to become the Communications Director for
Baker to Vegas. This position provides a unique opportunity to
explore and learn about multiple aspects of Ham Radio under some
of the most varying conditions, vast terrain, and extreme
weather, primarily with portable equipment and power.
Larry Simon, KC7QJO Bio:
Larry Simon,
KC7QJO, holds a Technician License and has had his ticket for
over 11 years. Larry has used his radio license in support of
MARS, CERT, the Boy Scouts of America, and many other community
events and disaster awareness and response training
opportunities. He and his equipment, act as a flying
relay/spotter for the annual Silver State Classic which is a
high speed road race run twice a year in Nevada. Larry is the
Communications Technical Director for the Annual Baker to Vegas
Challenge Cup Relay where his responsibilities center around the
communications coordination team, infrastructure and
troubleshooting communications/hardware issues as they arise
both before and during the race. He also assists teams with
their communications planning and implementations when they ask
for his assistance. As if this isn’t enough, he also helps with
the overall race operations and logistics as needed. In
addition, Larry is currently working on helping to link the
Southern Nye County repeaters in Pahrump with the Nellis Radio
Amateur Club Repeater on the Las Vegas side of the hill to
provide a permanent Ham radio link between the communities that
can not only be utilized daily but can also provide a reliable
link in all kinds of emergencies. |
